LawMate Privacy Policy

LawMate respects the privacy of its users. This Privacy Policy explains how LawMate collects, uses, and protects information provided by the Organization or End User, as well as information collected during use of LawMate’s services. We recommend that you take the time to read this Privacy Policy carefully

General

  1. This Privacy Policy forms an integral part of LawMate’s Terms of Use. The terms of the Privacy Policy supplement the provisions set forth in the Terms of Use and shall be read together with them as one. The Privacy Policy and the Terms of Use will apply to each user and to each use of LawMate services, all or part. The Privacy Policy and the Terms of Use shall apply to every user and to any use of LawMate services.

  2. Use of the LawMate services requires registration, during which you will be asked to provide certain details. By registering, you represent and warrant that the information provided to LawMate is submitted voluntarily and with your informed consent. By registering for or using the LawMate services, you provide your full and explicit consent to the terms of this Privacy Policy. If you do not agree to these terms, in whole or in part, you may not use the LawMate services. For the avoidance of doubt, registration for or use of the LawMate services, whether in whole or in part, shall constitute the user's express consent to the terms of this Privacy Policy.

  3. LawMate reserves the right to modify the terms of this Privacy Policy from time to time, at its sole discretion and as necessary. Notice of any material changes will be provided via email to the Organization or through a notification within the System. Such changes will also be published on the LawMate website and shall take effect immediately upon delivery of the aforementioned notice. The updated Privacy Policy shall constitute the binding agreement between the Company, the Organization, and the End Users. If you do not agree to the revised terms, you must cease all use of the services immediately. Continued use of the System by the Organization shall be deemed acceptance of the updated Privacy Policy.

  4. The System is designed in a manner that renders the submission of personal or identifying information unnecessary (except as explicitly stated below). Accordingly, users are advised to refrain from providing such information.

  5. Terms used in this Privacy Policy shall have the same meanings ascribed to them in the Terms of Use, unless expressly stated otherwise herein.

  6. This Privacy Policy is drafted in the masculine form for convenience only and applies equally to individuals of all genders. Any reference to the singular shall be deemed to include the plural, and vice versa, as the context may require.

Type of information collected and how it is collected

  1. LawMate collects and stores in its databases, certain information regarding the user. This information includes (hereinafter collectively: "User Information"):

    1. Registration: As part of the registration, the user is required to provide identifying information and the paying party is required to provide additional information (including: name, address, contact information, telephone number, payment method details, contact person name). LawMate may act to verify your identity based on the information provided by you.

    2. Input: When using the LawMate System, the System collects the information entered by the user and the feedback provided by the user.

    3. Contact information: When the user contacts us through various means of communication, we store the content of the information provided by the user.

  2. LawMate collects and stores certain information about users in its databases (collectively referred to as: "User Information"), including the following:

    1. Registration Information: As part of the registration process, users are required to provide identifying information, and the paying party must also provide additional details, including (but not limited to): full name, address, contact details, phone number, payment method details, and the name of a contact person. LawMate may use this information to verify the identity of the user.

    2. User Input: In the course of using the LawMate System, the System collects information entered by the user as well as any feedback or responses submitted by the user.

    3. Contact Information: When a user contacts us through any communication channel, we may retain the content of the message and any information provided as part of that correspondence.

  3. As part of the registration process, you will be required to create a username and password. You are solely responsible for maintaining the confidentiality of your login credentials and may not transfer or permit the use of your username, password, and/or user account by any third party. You agree to notify LawMate immediately upon becoming aware of any unauthorized use of your account, so that appropriate measures may be taken. You may not assign or otherwise transfer your rights in the account to any other person or entity.

  4. It is hereby clarified that you are under no legal obligation to provide the information referenced above, and that providing such information is voluntary and subject to your consent. However, furnishing this information is a prerequisite for using the LawMate services. You hereby represent and warrant that all information provided and/or updated by you is true, accurate, and complete, and that registration is performed solely on your own behalf and not on behalf of any third party.

Purpose of use of information and manner of use

LawMate uses User Information for the following purposes and/or in the following manner:

  1. To identify you upon subsequent logins to areas that require user authentication;

  2. To enable your use of the LawMate services, including the content and functionalities offered therein;

  3. To contact you when necessary, including for the purpose of updates, confirmations, or notices regarding the services, including services you have requested;

  4. To share information with third parties, in accordance with the provisions of this Privacy Policy and the Terms of Use;

  5. For the purpose of sending direct communication including service announcements. Removal from the direct communication distribution list does not preclude the receipt of service-related communications. If you wish to be fully removed from LawMate’s clients list and cease all communications, you must delete your user account and cancel the service in its entirety;

  6. To fulfill LawMate’s legal obligations, including in connection with legal proceedings, and to protect its rights or the rights of third parties;

  7. For any other purpose specified in this Privacy Policy or the Terms of Use.

  1. Providing information to third parties

Personal information

LawMate does not share personal or identifiable information collected from you with third parties, except in the following cases:

  1. With your explicit consent, at your request, or where necessary to provide a service that you have requested or subscribed to.

  2. With third-party service providers engaged by LawMate for the provision of services, including but not limited to: AI-based systems, technology and infrastructure providers, data storage and hosting, marketing support, customer service, technical support, and payment processing.

  3. Where disclosure is required to comply with any applicable law, regulation, legal process, or governmental request (such as a court order or regulatory authority directive).

  4. In connection with a dispute, claim, demand, lawsuit, or any legal proceeding between you (or anyone acting on your behalf) and LawMate (or anyone acting on its behalf).

  5. Where LawMate believes, in good faith, that disclosure is necessary to prevent serious harm to property or persons, including other users, LawMate employees, or its clients, or to prevent material damage as determined at LawMate’s sole discretion.

  6. In the event of a corporate transaction, such as the transfer or assignment of LawMate’s operations, rights, or obligations to a third party, provided that such third party undertakes to uphold the material provisions of this Privacy Policy. In such cases, prior notice shall be provided.

  7. With LawMate’s affiliates, including parent companies, subsidiaries, and other related entities, provided that such entities are bound by confidentiality obligations no less stringent than those applicable to LawMate under this Policy.

Aggregate Statistical Information

LawMate may share aggregate, non-personal statistical data with third parties, including its partners and service providers. Such information may relate to usage patterns and user behavior within the LawMate services, and may be used for internal analysis, service improvement, or other legitimate business purposes. This data will not identify you personally and will consist solely of aggregated, anonymized statistics.

  1. User and Organization Rights

    1. LawMate retains Customer Content for as long as it has not been actively deleted by the user. Customer Content may be retained even if the user is no longer affiliated with the Organization.

    2. Upon termination of the engagement and upon written request by the Organization, LawMate shall delete the relevant Customer Content and provide written confirmation of such deletion. Notwithstanding the foregoing, LawMate reserves the right to retain any information required to be preserved under applicable law.

    3. As set forth in this Privacy Policy and the Terms of Use, certain LawMate services may involve access to Customer Content by third parties identified in this Privacy Policy. You acknowledge and agree that such third parties may retain Customer Content in accordance with their own privacy policies, and LawMate bears no responsibility for such retention.

    4. A request to delete information does not prevent LawMate from retaining any data necessary to comply with its legal obligations

  2. Confidentiality and Information Security

    1. LawMate adheres to the ISO/IEC 27001:2022 information security standard.

    2. LawMate operates in accordance with applicable legal provisions to maintain the confidentiality of user information and employs security measures consistent with industry standards for civilian internet use.

    3. LawMate complies with applicable privacy and data protection laws, including the Israeli Privacy Protection Law, 1981, the Privacy Protection Regulations (Data Security), 2017 (“Data Security Regulations”), the Privacy Protection Regulations (Transfer of Data to Databases Outside the Borders of the State), 2001 (“Data Transfer Abroad Regulations”), as well as applicable guidelines issued by the Privacy Protection Authority and any directives of other competent authorities. LawMate undertakes to protect the privacy of data subjects whose personal information is collected, accessed, or processed by LawMate or on its behalf. Where required by law, LawMate will appoint a qualified Data Security Officer and define their responsibilities in accordance with applicable legal standards.

    4. Client Content is stored on servers physically located in the State of Israel only.

    5. You are solely responsible for ensuring that you have the legal right to input or upload any data or content into the LawMate System.

    6. LawMate maintains an information security program, including internal policies and procedures, designed to: (a) protect the Services and Client Content from accidental or unlawful loss, access, or disclosure; (b) identify reasonably foreseeable internal and external risks to security and unauthorized access; and (c) mitigate security risks through periodic risk assessments and testing.

    7. As part of its information security program, LawMate undertakes to: (a) implement and enforce policies for monitoring information, networks, physical infrastructure, and data storage; (b) configure access controls to enforce least-privilege principles; (c) maintain procedures for logging and responding to security incidents; and (d) maintain corrective action plans to address identified threats.

    8. Access to user information is granted only to LawMate employees who require such access as part of their job responsibilities and solely to the extent necessary to fulfill those responsibilities.

    9. Information security measures are intended to ensure user identification and encryption of transmitted credentials. Data transmitted to cloud servers is encrypted and secured. While such systems significantly reduce the risk of unauthorized access, absolute security cannot be guaranteed. Accordingly, LawMate does not warrant that its servers are immune from unauthorized access and shall not be held liable for any disclosure or misuse of information resulting from such access.

    10. LawMate shall document any incident raising concerns of unauthorized access to Customer Content and take appropriate remedial action. In the event of a data breach or security incident involving the Organization’s information, LawMate will notify the Organization as soon as reasonably practicable after becoming aware of the breach. LawMate shall review and analyze each incident and take necessary steps to mitigate recurrence to the extent possible.

Use of Artificial Intelligence

The artificial intelligence components integrated into the System (hereinafter: "AI Components") have been developed and/or are operated in accordance with applicable laws in the State of Israel, including, without limitation, privacy protection laws, the Equal Rights legislation, laws prohibiting discrimination of any kind (including on the basis of race, religion, gender, sexual orientation, disability, or any other protected category), and any legislation or regulations governing the use of artificial intelligence technologies, as may be in force and applicable from time to time.

  1. LawMate is responsible for ensuring that any information stored in, or processed by, its Systems or AI Components does not infringe upon the rights of third parties, including intellectual property rights and individual privacy rights.

  2. LawMate undertakes to ensure that any third party to whom information is transferred for processing, as detailed in this Privacy Policy, is contractually prohibited from using the Organization’s data or content for the purpose of training or developing AI models, unless prior written consent is obtained from the Organization.

Intellectual Property

  1. LawMate represents and warrants that the development, provision, and use of the System do not infringe upon any intellectual property rights or other rights of any third party.

  2. All information uploaded to the System by the Organization or its End Users, including files, data, and content of any kind (collectively: "Client Files"), shall remain the sole and exclusive property of the Organization. For the avoidance of doubt, LawMate does not claim or acquire any rights, title, or interest in or to the Client Files or any data contained therein.

  3. For the avoidance of doubt, any information, output, result, analysis, or other deliverable generated by the AI Components in the course of providing services to the Organization shall be deemed the exclusive property of the Organization. LawMate shall not use, reproduce, or make any other use of such output except as strictly necessary for the provision of the services to the Organization or as otherwise expressly authorized in writing by the Organization.
